For the Refuse Claim Letter, you’ll need to pretend that you’re now in Jane Breitenbach’s place. You’ve received an articulate letter that presents accurate facts, but you still need to refuse its claim. You also work for a non-profit organization that can’t afford to lose money, so you need them to pay the billed amount. You also want to retain this long-standing customer. Be firm yet kind. Use an indirect pattern to organize your letter; this is, after all, bad news that the reader won’t want to hear. Your letter should show an appreciation for your long-standing business relationship and stay focused on the reader’s concerns. Make sure to explain both the source of the rate increase, to address any questions the claim letter raised, and to offer the reason you must refuse the claim.
